Information on the processing of personal data for job applicants

in accordance with Article 13 of the Regulation (EU) 2016/679 of the European parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (hereinafter as “GDPR”).

Purpose and legal base of personal data processing:

The processing of personal data for the purposes of job selection process organized by the NN Group is necessary for evaluation of the suitability of the applicant for the position and for preparation of the necessary documentation before concluding an employment contract, an agreement on work performed outside employment or a contract for performing the financial intermediation on request by data subjects within the meaning of Article 6 (1) (b) GDPR. This processing is necessary to carry out the job selection process and conclude the contract.

Scope of personal data processing:

We collect, in particular, your name, surname, e-mail address, telephone number, CV, cover letter and other information and documents that you provide us with or that we acquire ourselves in accordance with the legal regulations for the above mentioned purposes. We may also review the information you have provided us with in a reasonable and appropriate manner. For example we may check the publicly available resources, such as websites, registers or social media, request documents, extracts or verify references from previous employers. By providing contacts to previous employers and other persons listed as references to supply information concerning your employment (especially periods of employment, job classification and activities), you are granting us a permission to contact them.

Recipients or categories of recipients:

Recipients of the personal data are authorized employees of the NN Group and external employees included in the job selection process.

Information on the transfer of personal data to a third country or international organization:

The NN Group does not intend to transfer personal data of data subjects to a third country or international organization.

Retention period of personal data:

We will keep the personal data for the time necessary for the evaluation of your application for a job offer, or for the preparation of documentation and communication with the relevant public authorities, but no longer than 6 months after the selection process. If the data subject provides the NN Group with a consent to store personal data even after selection process, we will keep this personal data for a period of 3 years from the date of consent, unless the data subject revokes the consent earlier. 

Data subject rights:

The data subject has the right: (i) to access the data, (ii) to rectify inaccurate or incorrect data or to complete incomplete data, (iii) to erase the data if the purposes for which they were collected or processed have passed or if they have been collected illegally, (iv) to restrict the processing of data in specific cases, (v) to transfer data to other controllers, (vi) to object to the processing of data, unless there are legitimate reasons for the processing which outweigh the interests, rights and freedoms of the data subjects; vii) to file a complaint with the Data Protection Agency. If a data subject has given the NN Group a consent to store his/her personal data for the period exceeding 6 months after the job selection process, the data subject has the right to revoke the consent at any time.

Automated decision-making and profiling:

The personal data are not a subject to an automated individual decision-making. Profiling of the data subject can only take place in connection with the selection of a suitable candidate for a specific job position.

Essential parts of the agreement concluded between the members of the NN Group:

The subject of the agreement between the members of the NN Group, as joint controllers, is to determine the responsibility of each controller for fulfilling duties and tasks under the GDPR in a way that (i) the subject of the agreement is to determine common means of processing and common purpose of processing of the personal data of data subjects – the job selection process, (ii) the contact point for data subjects is dpo@nn.cz, correspondence address: Prague 5 - Smíchov, Nádražní 344/25, zip code 15000, telephone number: +420 257 473 369, (iii) the period of validity of the agreement of joint controllers: indefinite, (iv) the exercise of the data subject's rights will be performed jointly by the members of the NN Group, (v) the obligations of the joint controllers to provide information when personal data are collected from the data subject will be provided jointly by the NN Group members. Regardless of the terms of the agreement, the data subject may exercise their rights before each controller and against any controller.
